Privacy Policy — Calcy
Last updated: October 22, 2025
Calcy ("the App") is an inventory management mobile application provided as a free service to small and medium businesses to manage stock, transactions, parties, and invoices. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
1. Information We Collect
- Account information: When you sign in with Google (Firebase Authentication) we collect your display name, email address, and profile picture URL as provided by Google.
- Business data you provide: Product records (IDs, names, descriptions, stock levels, buy/sell rates), party records (names, phone numbers, addresses, work type), transaction records (stock IN/OUT, quantities, rates, dates), and invoice details. This data is required for app functionality and is stored in Cloud Firestore.
- Payment & balance data: Records of payments in/out and outstanding balances for parties when you use the app’s payment features.
- Device & usage data: Technical information (device model, OS version), crash reports, and anonymous analytics that help improve the App.
- Log data: Server logs and timestamps related to authentication and data changes for security and troubleshooting.
2. How We Use Your Information
- To provide and maintain the App’s core features: product & stock tracking, transactions, invoices, reports, and syncing between devices.
- To authenticate users via Google Sign-In and manage user accounts using Firebase Auth.
- To store, retrieve and synchronize your business data using Cloud Firestore.
- To send low-stock alerts, transaction confirmations, and other app notifications.
- To analyze usage and improve performance and features (analytics and crash reporting).
- To comply with legal obligations and to protect the App and its users from fraud or abuse.
3. Data Sharing & Third Parties
We do not sell your personal or business data. We may share information in the following limited circumstances:
- Service providers: We use Firebase (Google) for authentication, real-time database (Cloud Firestore), and analytics. These providers process data on our behalf under their privacy and security policies.
- Legal requests: If required by law or to respond to legal process, we may disclose information to authorities.
- Business transfers: If the App is acquired or merged, user data may be transferred as part of that transaction—users will be notified when practicable.
4. Data Retention
We retain your account and business data for as long as your account exists or as needed to provide the App. You may request deletion of your account and data — see the "Your Choices" section below.
5. Security
We take reasonable administrative, technical, and physical measures to protect your data. Firebase services used by the App provide industry-standard controls. However, no system is perfectly secure; we cannot guarantee absolute protection.
6. Your Choices & Rights
- Access & correction: You can view and edit most business records inside the App (products, parties, transactions). For account details from Google, manage those via your Google Account settings.
- Account deletion: You may request deletion of your account and associated data by contacting us (see Contact section). Deletion requests will be processed within a reasonable timeframe and may require verification.
- Opting out of analytics: If you do not want anonymous usage analytics to be collected, contact us for available options.
7. Children
The App is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us to request deletion.
8. International Transfers
Your data may be stored and processed in servers located in countries where Firebase/Google maintains infrastructure. By using the App you consent to such transfers.
9. Changes to This Policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date. We encourage you to review this page periodically.
